For more than 1,100 years, The Royal Mint has produced Britain’s coinage. Since securing its first licensing agreement for Peter Rabbit in 2014, The Royal Mint has grown its licensing portfolio to more than 60 active licenses, featuring franchises including Harry Potter, The Lord of the Rings, Disney, and Paddington Bear; music legends such as David Bowie and Iron Maiden; and institutions including the Natural History Museum and Historic Royal Palaces.

Challenge

As the licensing portfolio expanded, so did the complexity of managing contracts, renewals, amendments, minimum guarantees, and royalty obligations. The Royal Mint relied on manual, spreadsheet-based processes to manage contracts and prepare royalty statements. Contract information was spread across multiple Excel files, making it increasingly difficult to maintain a single source of truth as the business grew. Preparing royalty reports required Finance to export sales data, manually calculate royalties in Excel, generate licensor-specific statements, and submit reports individually.
